Grassroots Program & Communications Coordinator

Job Title: Grassroots Program & Communications Coordinator

Location: Quesnel Youth Soccer association

Job Type: [Full-time/Part-time] 

Reports To: Technical Director / Executive Director

Job Overview: The Grassroots Programs & Communications Coordinator plays a key role in supporting the operations, communications, and program delivery of QYSA. This position involves coordinating grassroots soccer programs, leading youth sessions, and acting as a frontline contact for members. Administrative duties such as managing registrations, promoting facility use, and developing internal documentation. The Coordinator also drives member engagement through social media, website updates, and marketing efforts, while supporting sponsorship and grant writing. Additionally assisting in coach and referee coordination, and supporting the Technical Director with league and event planning.

Key Responsibilities

Grassroots Program Coordination:

·        Overseeing aspects of Grassroots Soccer Programs in collaboration with the Technical Director

·        Setting up for and delivering 50 minute weekly sessions for Tiny Tots, including a fun group warm up and cool down with rotating stations.

·         Addressing any player, parent or coach concerns or directing them to the correct spokesperson (ie, Technical Director)

·         Able to spend hours at a time on feet demonstrating basic exercises and or soccer specific drills, engaging in and prompting physical literacy for children of all ages 

Frontline Communications:

·        Manage and respond to incoming QYSA emails and phone calls.

·        Craft clear and effective communications for our members regarding events, programs, and general information.

Club Administration:

·        Develop and maintain operational and training manuals to institutionalize club practices (procedures, communication, marketing, policies).

·        Promote the use of our indoor sports field complex to external groups.

·        Ensure a positive facility presentation for all users and the public through excellent frontline member service.

·        Oversee seasonal registrations and provide support to members with registration inquiries.

·        Monitor and manage registration and payment statuses on the website.

·        Coordinate jersey distribution in collaboration with the Office and Facility Coordination

Sponsorship:

·        Reach out to local businesses to explore sponsorship opportunities.

·        Acknowledge and promote sponsors in line with sponsorship agreements.

Grant Applications:

·        Track grant application deadlines.

·        Write grant applications and follow up as needed.

Board Meetings:

·        Prepare and distribute meeting agendas and supporting documents (at the Board’s direction)

·        Attend meetings to gather information and contribute, where appropriate.

Social Media:

·        Design engaging posts and write descriptive captions to promote the Club, programs, camps, and events.

·        Create advertisements aimed at driving engagement and membership growth.

QYSA Website Management:

·        Oversee and update the QYSA website to ensure accuracy and relevance.

·        Align website content with social media posts and upload multimedia (photos, videos, policies) to enhance member engagement.

Office Hours:

·        Maintain a consistent schedule of 4-6 hours per week in the QYSA office, available for phone calls and member drop-ins while managing other tasks contemporaneously.

Coaching/Refereeing:

·        Coordinate communications and scheduling for QYSA Coaches & Referees.

·        Engage in recruitment and retention efforts for coaches and referees, managing necessary certifications and documentation.

Assist Technical Director:

·        Support QYSA Indoor & Outdoor League Management, including registration preparation and volunteer recruitment.

·        Assist in planning camps and events, ensuring consistent messaging regarding soccer programming.

·        Help develop relationships with other clubs through effective communication.

Qualifications & Skills:

·        High School Diploma or equivalent

·      Ability to work evenings and weekends as needed for programs. Certification in grassroots or youth soccer coaching (preferred but not required)

·        Ability to actively participate in youth sessions with young athletes of varying skill levels and be on feet for extended periods

·        Strong communication and interpersonal skills 

·        Familiarity with grant writing, sponsorship outreach and/or event planning (an asset, but not required)

·        Social media and basic marketing skills (an asset, but not required)

·        Must pass a background check

Assistant Technical Director / Sponsorship Coordinator Position

Job Title: Assistant Technical Director / Sponsorship Coordinator

Reports To: Technical Director / Executive Director

Job Overview:

The Assistant Technical Director / Sponsorship Coordinator plays a dual role in supporting technical operations and securing sponsorships. This position assists in the planning and execution of technical projects, events, or productions while also developing relationships with sponsors and ensuring financial backing for the organization.

Key Responsibilities:

Technical Assistance & Operations:

· Assist the Technical Director in overseeing technical aspects of the Community and Strikers Program.

· Help to create new programs and coordinate the Grassroots Program and Community.

· Assist in troubleshooting technical issues and implementing solutions.

· Maintain and organize technical equipment and resources.

Sponsorship & Fundraising Coordination:

· Develop and implement sponsorship strategies to secure financial and in-kind support.

· Research and identify potential sponsors aligned with the organization's mission.

· Prepare sponsorship proposals, presentations, and agreements.

· Maintain relationships with existing sponsors, ensuring fulfillment of contractual obligations.

· Coordinate sponsor activations, branding, and promotional activities at events.

· Track sponsorship performance and provide reports on impact and ROI.

Qualifications & Skills:

· Bachelor’s degree in Business, Marketing, Technical Management, Event Management, or a related field (preferred).

· Experience in technical operations, event coordination, or sponsorship management.

· Ability to work evenings and weekends as needed for programs. Certification in grassroots or youth soccer coaching (preferred but not required).

· Strong leadership and communication skills.

· Ability to work effectively with young athletes of different skill levels.

· CPR and First Aid certification (preferred).

· Must pass a background check.

Work Environment & Schedule:

· This role may require working in both office and indoor and outdoor field.

· Evening and weekend availability may be required based on program schedules.
